With over 25 years of combined experience in the global air charter industry, we have worked with a range of clients on a variety of flights across private jets, large group movements and cargo. Complex Crew Rotation During COVID-19

A marine travel specialist approached us with an urgent requirement to mobilise approximately 200 oil rig workers into Saudi Arabia at the height of the COVID-19 pandemic. With no scheduled flights operating into the region and strict global quarantine and testing protocols in place, a conventional travel solution was not viable.

The workforce originated from multiple countries, with the client arranging inbound scheduled flights into a central hub, London. However, UK COVID restrictions at the time presented two critical challenges. All arriving passengers were subject to a mandatory 14-day quarantine, and many would have required visas to enter the UK. Neither option was feasible given the project’s urgency. Due to the volume of inbound services, differing schedules and operational constraints, achieving a fully coordinated airside connection for every passenger was not possible either. As a result, alternative contingency solutions had to be developed at short notice.

We initially explored the use of airside hotel accommodation to maintain sterile transit arrangements, however availability was extremely limited due to high demand. In response, we worked closely with UK authorities, Border Force, the airport authorities, handling agents and airline to come up with a different solution.

Special dispensation was granted under strictly controlled conditions, including sealed coach transfers and rapid PCR testing protocols. Each passenger was issued with supporting documentation to facilitate smooth clearance through Customs and Immigration, ensuring the operation remained compliant, efficient and disruption-free despite the complexity involved.

The group was transported to a nearby hotel, where testing was conducted and fit-to-fly certificates were issued within hours. Despite a delay to the charter caused by testing requirements, which initially resulted in a £20,000 surcharge, we successfully negotiated with the airline to have this cost fully waived on behalf of the client.

At the same time, we managed one of the most complex aspects of the operation, securing overflight and landing permits into Saudi Arabia. With standard lead times of several weeks and only 48 hours available, including a weekend, this required intensive coordination. Leveraging strong local relationships and in-market expertise, we worked around the clock and successfully obtained the required diplomatic permits just hours before departure.

The operation was delivered successfully within an exceptionally tight timeframe, ensuring all personnel arrived as required without breaching COVID regulations. The client was extremely satisfied with the outcome, particularly with our ability to navigate complex regulatory challenges, mitigate significant additional costs and deliver the desired outcome regardless of the hurdles or hours involved.
